JET Engineering Solutions is an engineering firm committed to serve the rising demands in the Smart Grid market across Malaysia and the ASEAN region. Since 2018, they have been providing integration, solutions and consultancy especially in SCADA (Supervisory Control and Data Acquisition) power systems with a strong compliance to IEC 61850 standards.

Being the Malaysian distributors of significant products like Thytronic, Fundamentals and iGrid T&D, JET Engineering Solutions offer deep expertise in the field in addition to acting as a gateway to such renowned international products.

The Challenge

JET is not new to using cloud accounting systems to manage their business’ finances. Coming to Aplikasi, they were in search of a new accounting system to better manage and support their heavily project-based company. Mainly, they struggled with their past system as it lacked various features regarding the tracking and budget creation of their projects.

Their previous software was limited in the ability to produce project budgets overall and this restraint in customising their budgets was further exacerbated by their inability to generate Project Profitability Reports. This all poses an issue as being a heavily project and service based company meant that effectively evaluating the expenses and revenue of their variously differing clients was vital – aspects that were lacking in their former accounting system.

Finding the Solution

Therefore, we suggested Zoho Books – a more comprehensive cloud accounting software. Not only does it offer built-in project budgeting abilities but also includes features to produce project profitability reports thus solving their preceding limitations and issues.

Implementations & Results

Launching the software for JET required implementing a basic set up for the company after understanding their needs from the onboarding process. We began by configuring their organisation profile, user roles and permissions as well as document templates for their invoice, sales and purchase transactions – which provides for a comprehensive platform inclusive of all the company’s accounting needs. In addition, Zoho Books also equips the company with the platform’s features that allow them to create project budgets and project profitability tracking through prospective reports, satisfying the absence of such tools in their former system.

Next, we moved on to setting up the company’s bank account in Zoho Books to allow bank reconciliation activity to be done so that JET’s Zoho records match with their actual bank records. Additionally, we carried out a migration of the company’s chart of accounts in Zoho Books to enable transaction recording to the relevant account, granting efficiency and convenience by keeping track of the company’s spendings all in one unified platform

Throughout the entire process, we managed to supplement our delivery of Zoho solutions with successfully deployed training and support, ensuring a smooth transition from their previous software to Zoho Books and providing assistance to the team to fully understand and adapt to the usage of the new platform.

Good News for SMEs: e-Invoicing Pushed to 2026

The Inland Revenue Board of Malaysia (LHDN) has officially announced a rescheduling of the e-Invoicing implementation timeline for micro, small, and medium enterprises (MSMEs). Businesses with annual turnover below RM5 million now have more time to prepare, following the updated phased rollout plan released on 5 June 2025.

What Is e-Invoicing?

e-Invoicing is part of the government’s wider digital transformation initiative to improve tax compliance, transparency, and efficiency. Under this system, all invoices must be issued, received, and stored electronically in a standardized format, and submitted in real time to LHDN.

What Happens During the Grace Period?

For 6 months after your scheduled start date, the following apply:

You can issue consolidated e-Invoices (including self-billed types).
You may customize the “Product/Service Description” field freely.
Upon buyer request, issuing just one e-Invoice per day (not per transaction) is acceptable.

No penalties will be enforced under the Income Tax Act during this time — provided you adhere to the above.

After the Grace Period Ends?

From January 2026 onward, you must issue one e-Invoice per transaction for any sale exceeding RM10,000. Consolidated e-Invoices will not be allowed for such transactions.

Why the Rescheduling?

To give smaller businesses more time to adopt or upgrade digital systems.
To reduce compliance stress for micro and small enterprises.
To ensure service providers and technology platforms are fully ready to support a broader rollout.

What Should SMEs Do Now?

Even with the new timeline, businesses are strongly encouraged to start preparing early:

Begin evaluating or upgrading to accounting systems that support e-Invoicing.
Understand the LHDN e-Invoice format and submission requirements.

Ringkasan Kes Perniagaan

Naluri Kreatif merupakan sebuah institusi yang terdiri daripada rantaian prasekolah yang meneraju pembelajaran berasaskan projek di Malaysia. Setelah 30 tahun bertapak di Malaysia, mereka menyedari bahawa mereka perlu untuk meningkatkan lagi operasi bisnes mereka sejajar dengan dunia teknologi moden zaman kini.

Mereka telah menghadapi beberapa cabaran sepanjang beroperasi di mana pertamanya mereka menghadapi masalah di mana sistem tempahan yang digunakan sebelum ini tidak cekap kerana mereka hanya menggunakan Google Form bagi menyelaraskan kesemua 17 cawangan yang mereka ada di seluruh Malaysia. Google Form ini akan diisi oleh ibu bapa untuk menempah tarikh dan masa untuk melawat cawangan pilihan sebelum mendaftarkan anak mereka.Masalah timbul apabila slot temujanji itu tidak dapat dilihat oleh masa nyata dan dapat disahkan secara segera oleh setiap cawangan, yang telah menyebabkan kemungkinan besar sesi yang ada boleh bertindih.

Oleh yang demikian, satu sistem yang boleh menyelesaikan masalah yang dihadapi adalah seperti menggunakan sistem tempahan yang terpusat dan terintegrasi yang mampu membantu manager atau pekerja yang terlibat untuk mengesahkan secara automatik slot temujanji secara masa nyata bagi mengelakkan kemungkinan penempahan yang bertindih.

Latar Belakang Syarikat

Puan Noor Hayati Binti Abdul Hamid adalah pengasas Naluri Kreatif, yang mempunyai lebih daripada 35 tahun pengalaman dalam industri pendidikan awal kanak-kanak dan pembangunan keluarga. Selain itu, beliau telah mendapat pendidikan dan pengalaman langsung selama 7 tahun di United Kingdom dalam bidang pendidikan awal kanak-kanak. Cabaran Yang Dihadapi

Naluri Kreatif menghadapi cabaran di mana mereka tidak mempunyai sistem tempahan yang cekap. Mereka hanya menggunakan Google Form untuk menyelaraskan kesemua 17 cawangan yang ada di seluruh Malaysia. Google Form ini akan digunakan oleh ibu bapa bagi menempah tarikh dan masa melawat cawangan pilihan sebelum mendaftarkan anak mereka.

Masalah timbul apabila slot temujanji tidak dapat disahkan dengan masa nyata untuk setiap cawangan. Hal ini akan menyebabkan peningkatan risiko yang kemungkinan setiap sesi akan bertindih, di mana lebih dari satu slot temujanji boleh ditempah untuk waktu yang sama di cawangan yang sama.

Bukan itu sahaja, langkah-langkah yang dilakukan untuk setiap proses tidak berhubung antara satu sama lain, yang menjadikan adanya jurang di antara proses yang dijalankan. Hal ini yang menyebabkan proses menjadi kurang efisien dan boleh mengambil masa yang lama sekaligus meningkatkan risiko mereka untuk kehilangan pelanggan.

Tambahan juga,masalah timbul apabila pangkalan data maklumat mereka tidak diintegrasikan secara keseluruhan dalam semua fungsi perniagaan. Contohnya, informasi yang dikumpulkan oleh pihak marketing atau sales tidak dikongsi secara langsung dengan pihak kewangan dan perakaunan, begitu juga sebaliknya. Oleh yang demikian, informasi-informasi dan data-data yang penting tidak dapat diakses secara masa nyata.

Cara Penyelesaian

Antara cara penyelesaian untuk permasalahan mereka yang menggunakan cara manual untuk booking appointment ialah dengan menggunakan satu sistem Appointment Booking di mana ia akan dapat memudahkan proses urusan tempahan temujanji dengan lebih teratur dan cekap.

Mereka juga memerlukan sistem yang mempunyai interface yang mesra pengguna. Sistem ini juga harus mampu untuk mengambil data dan memberinya kepada sistem lain untuk digunakan dalam proses seterusnya.

Sistem ini juga harus mampu untuk menetapkan tarikh dan masa yang diinginkan oleh setiap tadika. Pada masa yang sama, sistem ini juga harus memberikan kemudahan kepada pihak Naluri Kreatif untuk menolak mana-mana booking pada slot masa yang telah ditempah.

Selain itu, mereka juga boleh menyelesaikan masalah yang dihadapi dengan adanya sistem yang boleh mengintegrasikan setiap proses yang ada seperti pendaftaran, pembayaran, dan pengurusan pelajar. Sistem ini seharusnya berkemampuan untuk memberi notifikasi secara automatik melalui pelbagai saluran seperti emel dan Whatsapp. Bukan itu sahaja, sistem yang mereka perlu juga harus mampu untuk meyimpan jumlah data yang banyak dan mudah diakses.

Kami juga mencadangkan agar mereka menggunakan satu sistem perakaunan yang mampu untuk menghasilkan quotation dan invoice dan sistem tersebut juga mampu untuk diintegrasikan ke dalam CRM yang mana dapat dihubungkan dengan rekod para ibubapa dan pelajar.

Pelaksanaan Dan Hasil

Antara isu yang ingin dikupas adalah dengan menyelesaikan permasalahan mereka tidak mempunyai sistem booking yang cekap. Jadi Aplikasi telah mengsyorkan mereka menggunakanZoho Bookings yang juga diintegrasikan bersama Zoho CRMuntuk memastikan pengguna dapat mengakses dan menguruskan temujanji dengan senang.

Bukan itu sahaja,Zoho Bookings ini juga mampu untuk menetapkan masa dan tarikh yang diinginkan oleh setiap tadika dengan mudah. Ini membolehkan pihak pengurusan tadika dan ibu bapa menjadualkan temujanji mengikut keselesaan dan keperluan masing-masing. Sistem ini juga berupaya untuk menolak sebarang tempahan pada slot masa yang telah ditempah bagi memastikan pengurusan tadika dapat menguruskan jadual temujanji dengan lebih efisien dan mengelakkan sebarang tindihan setiap sesi.

Zoho Bookings juga berupaya untuk mengambil data temujanji dan data tersebut dapat dikongsi terus ke dalam Zoho CRM. Hal ini membolehkan jabatan-jabatan yang tertentu dalam tadika dapat berkongsi maklumat dengan lancar di samping mereka juga dapat memastikan kecekapan operasi dan berkolaborasi dengan baik di antara mereka.

Selain daripada penggunaan Zoho Bookings, pihak Aplikasi juga telah mengintegrasikan Zoho CRM bersama Zoho Cliq dan WhatsAppdimana kesemua sistem ini dapat bergabung untuk memberi notifikasi secara automatik kepada pengguna. Jadi, dengan adanya sistem-sistem ini, maklumat juga dapat diakses dan dikongsi dengan mudah di antara sistem. Ini bagi memastikan kebolehpercayaan dan operasi tadika dapat berjalan dengan lancar.

Integrasi yang cekap dalam Zoho CRM yang dapat menghantar emel secara automatik, seperti pengesahan tempahan atau peringatan untuk pelanggan tentang perubahan atau notis pemberitahuan. Rekod emel yang dihantar dan diterima juga dapat disimpan dengan teratur untuk rujukan mereka pada masa hadapan.

From the get-go, Innoveam understood that there was a need to digitise their back-end processes. Data consolidation involved inter-departmental activities, but their top priority was to get their books in check.

Previously, they opted for whatever was available out there: Google Suite for their calendar, mail, Google Drive, Google Forms, PipeDrive for CRM, and spreadsheets. However, the information and data could not be consolidated, data integrity was an issue, and most importantly, they could not pull a report in real-time.

Company Background

Innoveam is a regional technology solutions provider that uses the latest ICT technologies to process, analyse, simulate, and visualise 3D datasets to provide business and operations improvement solutions for various industries. Their focus is on enterprise, and their experience in providing 3D data solutions within the region places them as a major player in the Industrial Revolution 4.0, specialising in Engineering Design, & Virtual Reality/Augmented Reality content development.

The company was founded in January 2013 by the Managing Director, Zamir Rashid and has about 20 employees in total. Technologies utilised by Innoveam include 3D Simulation (CFD, FEA, Game Engines), Motion Capture, Immersive Virtual Reality, Non-immersive VR/Interactive App, 360 Photo Capture, Augmented Reality Apps, Cloud Computing, Artificial Intelligence, Cross-Platform Virtual Collaboration, and IoT/Smart Sensors.

The main industry they are involved in is the oil and gas industry, where they assist in conducting safety studies and equipment design with clients based locally in Malaysia and internationally, such as in Indonesia and Qatar.

The Challenge

As we are told, they were unable to generate their accounting report on the fly. They can’t take traditional or semi-automated accounting with them. Accounting is tied back to orders; they need an easy and convenient way to invoice and receive payment right on the spot—even if that spot is miles from the office. The information that they had was also not in real-time and was handled in silos. As a result, data integrity was compromised, and the timeline for the information audit was questioned.

The problems include the consolidation of information across departments and tracking the number of hours taken to handle projects. Unreliable data is one of the most common hurdles companies face. Often, this is the result of manually inputting data across numerous locations and separate databases, a cumbersome task that results in human error. As for time tracking, they don't have the right tool to track how much time is spent on client work to bill it accordingly and are unable to track how much ROI they have when they invest in a project.

Finding the Solution

For Innoveam, we have implemented multiple applications into one solution. What is the solution? It consists of these applications: Zoho CRM, Zoho Project, Zoho Books, Zoho People, Zoho Expense, and Zoho Analytics. Implementations & Results

Zoho CRM was introduced to simplify the sales process, and custom functions were developed to automate the numbering of business transactions according to their respective conventions. Zoho CRM is integrated with Zoho Books to ensure sales transactions like quotations and invoices flow through finance for real-time consolidation and reporting.

Approvals were also put in place to increase data governance. Zoho People and Zoho Expense were configured to digitalize their HR management and claim management. Expenses in particular are integrated into Zoho Books. This has aided the finance team in managing all claims as expenses, resulting in a 10-day reduction in claim cycle time.

Zoho Projects was also integrated into task management and project tracking. With direct integration into Zoho Books, project profitability reports can easily be generated to identify any cost overruns earlier and also provide real-time reporting on each running project.

Carpedia is having a hard time managing the sponsors (vehicle owners) and all the e-hailing drivers. All the new vehicle owners and e-hailing drivers need to manually register with Carpedia, and this process has been tedious. Since all processes were manual and used hard copy, there was a disjointed process between sales and finance. Hence, finding digital and automated systems became a must for Carpedia.

Company Background

Carpedia is a vehicle fleet hub that primarily leases vehicles to e-hailing drivers. It is a fast-growing company that is widening its scope and looking for a system that can manage its fleet and drivers altogether. Hazim, CEO and co-founder of The Carpedia, and a few friends started a car rental business at university back in 2013, evolving the business to become a car-sharing platform that helped thousands of job seekers and provided a way for fresh graduates and retrenched personnel to make a living while in job transition.

You put your car with them, generate passive income, and they rent it out to job seekers, helping others build a steady income stream while waiting for jobs by becoming an entry-level E-Hailing driver. In the meantime, they are also exposed to other gig economy opportunities such as parcel delivery, personal grocery shopping, and car wrapping. Simple jobs that are proven to be very resourceful in providing income.

The Challenge

Taking care of the drivers, vehicles, vendors, payments, renewals, and internal staff claims by hand is not an easy task. Like any other up-and-coming company, they rely heavily on excel sheets for nearly everything: keeping tabs on vehicles, sales, commissions, service dates, renewals, staff management, and accounting matters. Operating in this manner is inefficient because each of them worked in a silo and the flow of information is not real-time, resulting in data discrepancies and a lack of transparency. The time taken to manage all the data and processes manually has taken a lot of time from the staff that would be otherwise spent on increasing sales and service quality.

Finding the Solution

As the digital transformation partner, Aplikasi suggested Zoho CRM and Zoho Books in unison to handle the fleet management, vendors, and payment collections. As for staff management, Zoho People and Zoho Expense are the most likely applications that can easily solve the inefficient claim process and human resource matters. And for each application, the reporting would come in handy for analytics purposes and for making better-informed business decisions.

Implementations & Results

Zoho CRM was heavily configured and customised with workflows, blueprints, custom functions, and integrations to make it a functioning and efficient fleet management system. The implementation involves the management of leads coming in up to their transition as a driver/owner, managing all the processes with the e-hailing companies and authorities, assigning vehicles, keeping the mileage up-to-date, sending for service, and returning the vehicles. Zoho CRM is also integral to keeping track of the payments received and made, and these data are either pushed to Zoho Books or obtained from it. Drivers would have access to the portal to update matters about the processes and the vehicle they are currently loaned.

As of January 2019, NASTY is a full-fledged provider of smoking-cessation solutions, having released its first closed pod system device, the NCIG 1 (an abbreviation of the NASTY Cigarette). The device was created in-house with the intention of providing the best possible aid to smokers trying to break their habit.

Back then, they used many incompatible apps. Hence, teamwork was often repetitive, laborious, and disorganised. Aplikasi, which develops tightly integrated applications, recommended Zoho One.

Company Background

NASTY Worldwide started out as an e-liquid manufacturer when it was established in 2015 in the city of Tampin in Malaysia. NASTY quickly began penetrating markets and gaining a large following across Europe and the Americas with its award-winning creations. The company focuses its research and development efforts on flavour combinations that set new trends and on fresh brand designs.

Nasty LABS R&D Center is the heartbeat of NASTY. This centre offers comprehensive services to original equipment manufacturer (OEM) customers all over the world. Today, NASTY designs, develops, and markets a comprehensive ecosystem of solutions for electronic nicotine delivery systems (ENDS). NASTY is located in Indonesia, India, the United States of America, the United Kingdom, the United Arab Emirates, and South Korea. Their goal is to have NASTY become the ENDS Solutions Provider with the Largest Market Share and Most Recognized Brand Name by the year 2030.

The Challenge

The fact that they utilised a large number of apps that were not compatible with one another or able to communicate with one another was an issue back then. As a result of it, the process of collaborating within their team was frequently redundant, tedious, and unorganized.

The increasing cost of Google Suite was the main reason this strategy was adopted by Nasty and how we came into the picture. The other difficulty that they were encountering was in the area of human resources management. Their HR policy was not easily implementable with their old system, which was HR.

Finding the Solution

The first project we had with NASTY was migrating their Google Suite to Zoho Workplace. This migration exercise includes the migration of about 300 employees' email accounts from GSuite to Zoho Mail, the configuration of domains in Zoho Mail, and redirection setup to ensure emails coming into the old address are captured in the new address. Not to forget, Zoho People was also introduced with the integration to Payroll Panda.

Implementations & Results

The applications of Zoho People, Zoho Expense, and PayrollPanda were all developed and tightly connected with one another. All of the claims and the basic salary are sent to Payroll Panda, and then Payroll Panda will process the amount to generate payslips for all of the employees. Once this is complete, the payslip can be downloaded from or viewed within Zoho People. The majority of the processes are made more efficient by the fact that they all operate in the background.

Because there is no consolidated and real-time information on venue availability, businesses are having trouble overcoming their obstacles. Aplikasi suggested Zoho Bookings and Zoho Books to solve their issues.

Company Background

Lantera Venue is a company that rents out facilities for various types of events, such as weddings, parties, showers, and conferences. They are located at Cahaya SPK and it is a resort concept venue hall.

The company is run by a husband-and-wife duo. The goal is to create a one-of-a-kind indoor and outdoor facility that will be able to accommodate a wide range of gatherings, from intimate private gatherings to massive public parties. The events that will be held there will have the capacity to host anywhere from fifty to one thousand people at a time. Terrace and Mini Hall are the two locations that can be utilised for accommodation purposes.

The Challenge

Lantera is a company that provides catering and event services, so they are responsible for managing the bookings. Before this, they had a large number of salespeople who worked to provide prospective clients with information regarding the availability of the venue. Consequently, businesses are having difficulty overcoming the obstacles they face because there is no centralised, real-time information on venue availability. Meanwhile, they require a method for overseeing reservations at several venues.

Along with this, they require an automated system to handle pricing quotes, invoices, and payments instead of doing everything by hand. Previously, only salespeople were in charge of disseminating quotations via messages, and there was no centralised database containing information on the company's official documents. As a result, there was room for leaks, fraud, inaccuracies, and inefficiencies.

Finding the Solution

Aplikasi stepped in by recommending Zoho Bookings and Zoho Books as solutions to their problems. When it comes to Zoho Bookings, this application helps businesses manage the availability of their venues and make reservations on the spot, making it easy for salespeople to have one-on-one conversations with customers. Concerning Zoho Books, it is simpler for them to prepare and send quotations, track invoices, collect payments, and generate accounting reports. All of these functions can be performed more easily.

Implementations & Results

As a direct consequence of this, they were able to raise the bar for the quality of their offerings to the highest possible level. For Zoho bookings, the salesperson's ability to effortlessly communicate with clients makes the process much more organized. We've also taken care of the Zoho Books implementation, which eventually would allow them to provide customers with quotations and maintain records in a centralised location using this platform. The opportunity came when Sage Cloud asked all their APAC customers to move out from their service and Aplikasi suggested Zoho Books as a replacement. It is not just a complete cloud accounting software but it also integrates well with Zoho CRM and that's what made it the best option for Nexagate to further increase their usage in Zoho products.

The Challenge

When they first came to us, they were having issues with their Sage Cloud accounting software. They are searching for a cloud-based accounting solution that can easily integrate with local banks. They'd also like to link up with their internal sales processes so that their accounting and sales departments can share and access the same information.

Not only that, they also have used Zoho CRM for the past 3 years where sales pipeline are being tracked. The app was configured by an internal personnel but they found it hard to customise due to the lack of knowledge on the product. For example, leads from their website went to the sales' team inbox and they then need to create the lead record manually in CRM. They also did not know how to link Google ad-words into CRM for ROI monitoring. Aside from that, quotations were created on Excel and not tied to the CRM record.

Lastly, for project management, tasks are still tracked manually in Excel and there's no established process to hand over a closed deal from Sales to the Project team. The project team also need to always check with finance whenever progress billing needs to be made.

Finding the Solution

The solution that we Aplikasi has done for them is a full migration from Sage to Zoho Books with all balances, customer master, vendor master and GLs transferred to the new accounting software. Integration to company's bank account was enabled to ease the bank reconciliation process.

The sales team was then retrained on how to use Zoho CRM to its greatest capacity. We also enabled the link for their webform so that leads that came from website would instantly flow into CRM. Furthermore, the interface with Zoho Finance allows customer information and sales transactions such as quotations and bills to be synced with Zoho Books data.

Ultimately, Zoho Projects was enabled, as were interfaces with Zoho CRM and Zoho Books. Winning deals result in the development of a project, and project managers (PM) are immediately alerted. In Zoho Projects, project managers may also produce invoices and track their status.

Implementations & Results

With the enablement and integration of the trio Zoho Products, the process loop were closed and tightly integrated with end to end monitoring across different departments. No more duplicates of customer data, no manual creation of leads, increased visibility of sales transactions across different departments, silos broken and best of all is that all processes can be done in a very short time everything, everywhere and all at once.
